When do you need a receipt?
A receipt is proof that a payment was made. Customers often need one for their own records, expense claims or tax returns, and sending one makes your business look reliable. Send a receipt whenever a client pays in cash, pays an invoice in full, or pays a deposit.
What to put on a payment receipt
- The word “Receipt” and a receipt number
- Your business name and contact details
- The customer’s name
- The payment date and the payment method (cash, card, bank transfer, PayPal…)
- What the payment was for, with amounts
- The total amount paid
Receipt vs. invoice
An invoice is sent before payment and asks the client to pay. A receipt is sent after payment and confirms the money arrived. Many freelancers send an invoice first and then a receipt once the invoice is paid. If you are pricing work that hasn’t started yet, use the quote generator instead.
Tips
- Reference the invoice number in the notes (for example “Payment for INV-0012”) so both documents match.
- For deposits, write “Deposit” in the description and note the remaining balance.
- Keep a copy of every receipt you issue. They are useful records at tax time.
